Overview

AcaTrove helps researchers organize projects, publications, grants, and lab work. Search research records, review project status, manage deadlines and tasks, and connect publications and evidence to projects. Changes to research records are made in the user's AcaTrove workspace. With AcaTrove connected, you can: - Search your library and ask questions answered from your own documents, with the source documents named. - List projects, check project status, and add or update tasks and notes. - Search grant opportunities and start a grant application. - Add, update, and link publications and impact evidence. - Browse lab samples, resources, and protocol runs. AcaTrove only reads and changes records available to the signed-in AcaTrove account, within the permissions granted when you connect. Tools that change or delete records are marked as such so ChatGPT can confirm with you first.

Tools

acatrove_status

ChatGPT
Validate MCP connectivity to the configured AcaTrove instance.

add_evidence

ChatGPT
Record an impact-evidence item (interview, review, media article, syllabus use, talk, award, or other) on a publication you can edit.

add_project_member

ChatGPT
Invite a person to a project by user_id or email. They join only after accepting. Counts against the project plan collaborator limit (the owner counts). Requires a management role on the project.

add_task_dependency

ChatGPT
Make one project task depend on another (FS finish-to-start by default; SS, FF, SF also supported) with optional lag in days. Rejects cycles and duplicates. Requires a management role on the project.

ask_library

ChatGPT
Retrieve the most relevant excerpts, each with its doc_name, from the authenticated user's document library for a question. Returns source excerpts only; AcaTrove does not write the answer. Covers the indexed text of the user's uploaded papers and documents. When excerpts is empty, retrieval_status says why: library_empty (no documents at all), library_not_indexed (documents exist but none has indexed text; see library_document_count), no_relevant_excerpts (indexed text exists but did not meet the calibrated relevance floor), model_abstained (excerpts cleared the floor but do not address the question), or unknown.

assign_task

ChatGPT
Set or clear (assignee_user_id: null) the assignee of a project task, replacing any current assignee. Requires a management role on the project.

chat_with_document

ChatGPT
Retrieve the relevant excerpt(s), each with its doc_name, from one specific document for a question. Returns source excerpts only; AcaTrove does not write the answer.

check_resource_availability

ChatGPT
Check scheduler availability, conflicts, policy, and training gates for a lab resource.

create_grant_application

ChatGPT
Start a grant application (status "writing") for the authenticated user. Requires grant_title and funder; supports the grants:write scope. If a grant_id is supplied that already has an application, this updates that existing application (deadline/amount/project and application status) rather than creating a duplicate. An omitted deadline clears the existing application deadline. The response reports was_existing. An optional project_id must be a project the user can access, or the call is rejected.

create_note

ChatGPT
Save a note to a project. Use this to capture insights, action items, or context from an AI conversation back into the AcaTrove workspace.

create_publication

ChatGPT
Create a publication in the authenticated user's AcaTrove library. Returns the saved record and the fields that were written. Requires the publications:write scope.

create_task

ChatGPT
Create a task inside one project.

delete_evidence

ChatGPT
Remove one impact-evidence record from a publication. This is a recoverable delete — AcaTrove keeps the record so the user can restore it. Requires the publications:write scope.

delete_note

ChatGPT
Remove a note from a project. This is a recoverable delete — AcaTrove keeps the record so the user can restore it — and the tool returns the note it removed. Requires the projects:write scope.

delete_publication

ChatGPT
Move one of the authenticated user's publications to the AcaTrove Trash, where the user can restore it. Returns the record that was removed. Requires the publications:write scope.

delete_task

ChatGPT
Permanently delete a project task and its dependency links. If other tasks depend on it, the call is refused until you retry with confirm_downstream_review: true, which flags those tasks for review. Requires a management role on the project.

fetch

ChatGPT
Fetch the full bibliographic record for a citation id. Implements the ChatGPT connector fetch contract.

fetch_open_access_full_text

ChatGPT
Download the legal open-access PDF of a publication (found through OpenAlex and Unpaywall by the publication's DOI), then store and index it so library search and chat can read the full paper. Replaces any file already attached. Fails with a clear reason when the publication has no DOI or no open-access copy exists; paywalls are never bypassed.

find_sources_for_passage

ChatGPT
Retrieve the user's own papers relevant to a passage of text, as citable sources. Returns sources only; AcaTrove does not rewrite or edit the passage.

get_document_summary

ChatGPT
Read a saved AI summary for a specific document, or generate and save a new summary version when none exists or refresh is requested. Generation uses the account's AI allowance.

get_extraction_materials

ChatGPT
Retrieve the most relevant excerpts from a paper for one extraction column. Returns source excerpts only; AcaTrove does not extract the cell value. Read-only: this does not change the table.

get_extraction_table

ChatGPT
Get an extraction table with its columns, papers, and current extracted cell values.

get_note

ChatGPT
Read one project note in full, including its body text. The note is addressed by project and note id together; a note in another project is not found. Requires the projects:read scope.

get_outline_template

ChatGPT
Retrieve the outline template (sections, required parts, style notes) and the user's relevant sources for an academic document. Returns the template and sources only; AcaTrove does not generate the outline text.

get_project_status

ChatGPT
Fetch one project with milestones, current tasks, and task-status counts.

get_sample_lineage

ChatGPT
Fetch one sample with ancestors and direct descendants.

list_deadlines

ChatGPT
List upcoming deadlines across all projects, grants, and tasks for the authenticated user.

list_documents

ChatGPT
List all documents attached to a specific project.

list_evidence

ChatGPT
List the impact evidence recorded on one publication (media coverage, syllabus use, talks, awards). An unknown publication id returns an error, not an empty list. Requires the publications:read scope.

list_extraction_tables

ChatGPT
List the authenticated user's structured-extraction tables (systematic-review grids).

list_lab_resources

ChatGPT
List schedule-enabled lab equipment and resources.

list_lab_samples

ChatGPT
List canonical lab samples from AcaTrove Lab Operations.

list_labs

ChatGPT
List the AcaTrove labs the authenticated user belongs to, with their lab ids.

list_notes

ChatGPT
List the notes saved to one project, newest first. An unknown project id returns an error, not an empty list — an empty notes array means the project exists and has no notes. Requires the projects:read scope.

list_projects

ChatGPT
List the authenticated user research projects with optional filtering by status.

list_protocol_runs

ChatGPT
List lab protocol/test runs from the AcaTrove lab test runner.

list_publications

ChatGPT
List the authenticated user publications, including citation counts.

remove_project_member

ChatGPT
Remove a collaborator from a project by collaborator link id (from the project team list). The project owner or a manager can remove others; any member can remove themselves.

search_across_workspace

ChatGPT
Search the full workspace — documents, publications, and projects — in a single query.

search_documents

ChatGPT
Search the authenticated user document library.

search_grants

ChatGPT
Search research funding opportunities across NIH, NSF, CORDIS, SBIR/STTR, and related grant sources. Note: current synced source coverage is weighted toward STEM/biomedical funders (NIH/NSF dominate; some humanities and federal sources are stale or unauthenticated), so results for humanities/social-science queries may be sparse or off-topic. Check each result’s source and the per-source status before relying on coverage.

search_library

ChatGPT
Search the authenticated user's authorized academic literature library and return ranked citation metadata (title, authors, journal, year, DOI, abstract, relevance score). Only returns citations the authenticated user can access — never raw full-text documents, unauthorized content, or results from a different corpus. An empty library search returns an explicit empty result.

search_references

ChatGPT
Search for relevant academic references to cite for a topic or passage.

set_extraction_cell

ChatGPT
Write an extracted value into one cell (a paper row × column) of an extraction table.

summarize_lab_notebook

ChatGPT
Return a compact summary of lab notebook entry status and recent entries.

update_project

ChatGPT
Update a project's title and/or description. Requires the projects:write scope.

update_publication

ChatGPT
Update fields on one of the authenticated user's publications (title, authors, journal, doi, abstract, status, publication_type). Returns the saved record plus the previous value of every field it changed, so the edit can be undone. Requires the publications:write scope.

update_task

ChatGPT
Change a project task's title, description, status, progress, dates, or effort. Overwrites the fields you pass. Requires a management role on the project (an assignee may change only status and progress).
