Latch

by Latch

Overview

Latch connects ChatGPT to a Latch property-management account. Users can look up tenancies, units, invoices, tasks, check-ins, check-outs, compliance checks, rent reviews, and direct-debit mandates within their organisation.

Tools

latch_find_tenancy

ChatGPT
Finds the tenancy on a unit or for a person and returns the situation: its state, the current period with its dates and rent, the deposit, and who lives there. Give either unit_name or person_name. Use it for "who is in Flat 3", "what is Sam paying" or "when does that tenancy end".

latch_get_task

ChatGPT
Returns one task in full, with its activity timeline: what was said about it, when its status changed, who it was reassigned to and when it was scheduled. Use it after latch_list_tasks or latch_list_my_tasks to answer "what is happening with this one".

latch_list_check_ins

ChatGPT
Lists check-ins in one organisation with which checklist items are still outstanding: key cards, fire agreement, information sheet, regulations, evacuation points, pre-inventory. A check-in record appears once someone has opened that tenancy check-in, so a tenancy missing from this list has not been started rather than not happened.

latch_list_check_outs

ChatGPT
Lists Check Outs in one organisation, with the units, who was living there, whether key cards came back and whether the vacation questionnaire was completed. Use it for "who has moved out" or "which Check Outs are unfinished".

latch_list_failed_mandates

ChatGPT
Lists Direct Debit mandates that will not collect: refused by the bank, cancelled, or lapsed. Use it for "whose Direct Debit has broken". A mandate still being set up is not a failure and does not appear here. For tenants who never set one up at all, use latch_list_missing_mandates.

latch_list_invoices

ChatGPT
Lists invoices in one organisation with what is owed, what has been paid, when it is due and how it is collected. Filter by state, by whether an approved invoice is overdue, by payment method, by type, or to just the ones whose upload to Xero failed. Reads only: approving, retrying and marking paid all stay in the portal.

latch_list_missing_mandates

ChatGPT
Lists tenants who have no active Direct Debit mandate, so their rent cannot be collected automatically. Use it for "who still needs to set up a Direct Debit". For mandates that were set up and then failed, that is a different question and a different tool.

latch_list_missing_right_to_rent_checks

ChatGPT
Lists tenants whose Right to Rent check is missing, incomplete, failed or expired, with which of those it is and when their tenancy started. Use it for "who still needs a Right to Rent check". Statutory: every tenant needs a valid one.

latch_list_my_organisations

ChatGPT
Lists the organisations the Latch account this connection is acting for belongs to, with the organisation_id each one is known by. Use it when another tool has asked which organisation to read, or to check up front whether this account has more than one.

latch_list_my_tasks

ChatGPT
Lists the open tasks assigned to the Latch account this connection is acting for, highest priority first. Use it for "what am I working on" or "what is on my list". To see tasks assigned to someone else, or completed ones, use latch_list_tasks.

latch_list_rent_reviews

ChatGPT
Lists Rent Reviews that are due to be actioned: the scheduled prompts to reconsider the rent before a tenancy period ends, with what the rent is now, which units it covers and when the review is due. Reviews whose alert date has not yet arrived are not included, so this is what needs attention rather than every review on the books. Use it for "which rents are up for review".

latch_list_right_to_rent_checks

ChatGPT
Lists the Right to Rent checks recorded in one organisation, with who they are for, whether they passed, and when they expire. Filter by outcome, or to those running out within so many days. For tenants with no valid check at all, use latch_list_missing_right_to_rent_checks.

latch_list_tasks

ChatGPT
Lists tasks across one organisation: repairs and maintenance jobs, Right to Rent follow-ups and data deletion jobs. Returns the tasks still open unless status says otherwise, newest and highest priority first. Filter by unit, by the person a task is assigned to, or by kind of task. For only the tasks assigned to the account this connection is acting for, use latch_list_my_tasks instead.

latch_list_tenancies_ending_soon

ChatGPT
Lists tenancies whose current period ends within the next so many days and has no renewal recorded yet, with the units, who lives there and the end date. Use it for "whose tenancy is coming up" or "what needs renewing". A tenancy that has already been renewed does not appear.

latch_list_units

ChatGPT
Lists the units in one organisation and who is living in each, matching the states the units screen shows: occupied, under application, or available. Use it for "which units are available", "who is in unit 12" or to get a unit name right before asking about it elsewhere.

latch_whoami

ChatGPT
Returns the name of the Latch account this connection is acting for, and the organisation it belongs to. Use it to confirm which account an assistant is connected as.
