Overview
NivaDesk helps custom-order studios manage orders, customers, personal notes, tasks, schedules and financial summaries from ChatGPT. After connecting a NivaDesk workspace, users can search orders, view dashboard summaries, check permitted financial information, create personal notes and update order statuses. It is designed for small teams and studios that work on made-to-order projects, including bespoke art, handmade products, repairs, photography, tailoring, jewellery and other client-based workflows.

attach_bank_receipt
ChatGPTAttach an invoice/receipt the user shared in the chat to the matching bank transaction in NivaDesk. Pass the user's file as
receipt. NivaDesk OCRs images itself; for PDFs (or to help matching) also pass the total amount, the document date (YYYY-MM-DD) and the merchant name you read from the document. If NivaDesk finds one confident match it attaches the file immediately; if several transactions could match it returns candidates with an inboxPath — show them to the user, then call again with the chosen transactionId and the same inboxPath (no need to resend the file). Workspace owner only. Do not ask for companyId. Image receipts are read with Google Vision OCR. Attaching to a transaction that already has a receipt replaces it, and the previous file is deleted.create_note

For an already overdue active order, also collect and pass its original created date as paymentDate so Timeline & Delivery and overdue calculations remain accurate. Use this only after the user provides enough order details or confirms creating a draft order.
get_bank_spending_summary
ChatGPTSummarise the connected workspace's business bank feed (Open Banking) for a month or a year: total spent, incoming, change vs the previous period, spending by category, top merchants and recurring subscriptions. Use for questions like 'how much did I spend in July', 'what are my biggest costs this year', 'which subscriptions do I pay monthly'. Requires the Bank Spending permission (workspace owner or a member the owner granted). Do not ask for companyId.

search_commerce_orders
ChatGPTFind orders from any channel and see the provider's own status separately from NivaDesk's workflow status: platform status, payment status, fulfilment status, external order id, connection and last sync all stay distinct fields. It reports no amounts at all: no order total, nothing paid or outstanding, no refund, no tax and no currency. Use it when the user names a shop, an external order number or a payment state. Buyer details are withheld for channels whose data policy restricts them. Do not ask for companyId.
search_inventory
ChatGPTSearch stock by name, SKU, serial number, brand, model, category or location, and filter by status, low stock, reserved, location or category. Use it before adding something, so an item the workshop already has gets topped up instead of duplicated.
