Overview

Turn your trips into a mileage log for taxes or an expense report, with the reimbursement worked out to the cent. Type your trips ("Oct 5 office to Client A, sales meeting, 12.4 mi"), describe a repeating drive ("weekdays in October, 18 mi to the clinic"), or attach a CSV or Excel file with dates, destinations, purposes and miles or odometer readings. Each trip gets the IRS standard mileage rate for its date: 70 cents per business mile in 2025, 72.5 cents from January 1 to June 30, 2026, and 76 cents from July 1, 2026 (IRS Notice 2026-10 and Announcement 2026-11). Medical, military moving and charity miles use their own rates. You can also use your employer's rate, for example 60 cents a mile, and see the IRS amount next to it. What it checks: odometer continuity between trips (overlaps and gaps are flagged), round trips given as one-way miles are doubled, home-to-office commuting is flagged because it is not deductible, and trips without a business purpose or destination are listed so you can fix them before you file or submit. What you get: totals by month, business purpose and client; business-use percentage from your start-of-year and end-of-year odometer; a printable PDF mileage log with the columns the IRS asks for (date, destination, business purpose, miles, odometer); and an Excel (XLSX) workbook with the trips, a summary and the flags. For a quick answer, ask how much 4,200 business miles are worth, split before and after July 1, 2026, or turn two odometer readings into business miles. Good for employees filing expense reports, self-employed people and contractors, real estate agents, home health nurses, and sales reps. Limitations: miles come from you; it does not look up driving distances or track GPS. IRS rates are included for trips dated 2025 and 2026. Up to 5,000 trips per log. Download links expire after 24 hours. Not tax advice.

Tools

calculate_mileage_reimbursement

ChatGPT
Use this when the user asks for a mileage reimbursement calculator, mileage deduction, or the IRS mileage rate 2026 applied to a number of miles ("how much can I deduct for 4,200 business miles", "my employer pays 0.70 a mile how much do I get", "odometer 41230 to 46890 how many business miles"). Applies the IRS standard mileage rate for the date driven (2025: 70 cents; Jan-Jun 2026: 72.5 cents; Jul-Dec 2026: 76 cents per business mile; medical/moving 21, 20.5, 23.5 cents; charity 14 cents), splits miles across the July 1, 2026 rate change, compares a custom employer rate with the IRS rate, and turns odometer readings into miles. Does not build a trip-by-trip log (use generate_mileage_log), look up distances, or give tax advice.

generate_mileage_log

ChatGPT
Use this when the user wants a mileage log, mileage log template, mileage log for taxes, printable mileage log, mileage log in Excel, or mileage reimbursement report from trips they drove ("turn these trips into a mileage log for my taxes", "reconstruct my mileage log from my calendar"). Takes typed trips (date, from, to, purpose, miles or odometer start/end), recurring trips (for example weekdays in a month) and/or an attached CSV/XLSX file. Applies the IRS standard mileage rate for each trip's date (2025: 70 cents; Jan-Jun 2026: 72.5 cents; Jul-Dec 2026: 76 cents per business mile; medical, moving and charity rates) or a custom employer rate, checks odometer continuity, flags commuting and missing purposes, and totals by month, purpose and client. Returns a PDF mileage log and an XLSX file. Does not look up distances between addresses, track GPS, or give tax advice. Do not use for a single quick mileage total with no trip list (use calculate_mileage_reimbursement).
