Overview

PaxFlow is operations software for tour operators. This plugin lets you work with your PaxFlow data in plain language. Ask who is booked on tomorrow's 9:00 departure, which passengers have not filled in their booking form, or which shifts are still unassigned next week. ChatGPT can also make changes for you: create and update shifts and resources, invite or update staff, write email, SMS and WhatsApp message templates, and create bookings in your connected booking system. It can send a message template to the passengers on a departure, resend a message from the message log and reply to WhatsApp conversations. The plugin has the same access you have in PaxAdmin. It reaches only the companies you belong to and the sections your role allows. Before a message is sent, a booking is created, a record is deleted or a staff member is removed, PaxFlow returns a preview, and nothing happens until you confirm. Every tool call is recorded in your company's audit log under your name. You sign in with your PaxFlow account. ChatGPT never sees your password. Limitations: requires a PaxFlow account with AI assistant access turned on. The plugin does not take payments or issue refunds. It cannot change or cancel bookings in your booking system.

Tools

complete_booking

ChatGPT
Finishes a booking that create_booking or import_bookings returned as needs_answers: pass exactly the same booking details (clientReference included), the preparationToken and the user's answers. Needs read_write access and the Admin or Owner role.

create_booking

ChatGPT
Creates one booking in the company's booking system on one product departure. Without confirm: true it only checks the product, rate, pricing categories, departure and seats and returns a preview. When the booking system needs booking questions answered first, it returns them with a preparationToken for complete_booking. A clientReference that already made a booking is not booked again. Needs read_write access and the Admin or Owner role.

create_email_template

ChatGPT
Creates an inactive email template with its subject and headers but no body. The body must then be designed in the PaxAdmin template editor before the template is activated. Needs read_write access and the Admin or Owner role.

create_resource

ChatGPT
Creates a resource such as a vehicle or boat. Needs read_write access and the Admin or Owner role.

create_shift

ChatGPT
Creates one shift. Leave out staffMemberExternalId for an open shift. Needs read_write access and the Admin or Owner role.

create_sms_template

ChatGPT
Creates an inactive SMS template. Activate it with update_message_template. Needs read_write access and the Admin or Owner role.

create_whatsapp_template

ChatGPT
Creates an inactive WhatsApp template and sends its body to Meta for approval. The body is submitted in English in the Utility category and cannot be edited afterwards; a different text needs a new template. Messages can only be sent once whatsappApprovalStatus is Approved. A failed call may still have saved the template; list_message_templates shows it. Needs read_write access and the Admin or Owner role.

delete_message_template

ChatGPT
Deletes a company message template and its automation schedules. Without confirm: true it only returns the template that would be deleted. Needs read_write access and the Admin or Owner role.

delete_resource

ChatGPT
Deletes a resource. Without confirm: true it only returns the resource that would be deleted. Needs read_write access and the Admin or Owner role.

delete_shift

ChatGPT
Deletes a shift. Without confirm: true it only returns the shift that would be deleted. Needs read_write access and the Admin or Owner role.

find_booking

ChatGPT
Finds one booking by its reference plus the customer email or full name, and returns its activities (product, date, start and pickup time, status, passenger count, internalDepartureId). Both arguments are required. Refuses when more than one booking matches.

get_message_log

ChatGPT
Returns one sent or scheduled message with its delivery status and body (email bodies are HTML, cut at 20000 characters).

get_message_template

ChatGPT
Returns one message template with its subject or text. Email bodies are designed in PaxAdmin; hasEmailBody says whether one exists.

get_whatsapp_messages

ChatGPT
Lists the latest messages of one WhatsApp conversation as metadata, plus the text of the customer's latest message and when the free-text reply window closes.

import_bookings

ChatGPT
Creates one booking per row of a list the client has already parsed (a CSV, spreadsheet or pasted table), at most 50 rows. Without confirm: true nothing is created: every row is checked like create_booking and comes back as ok, already_booked or error. With confirm: true the rows are booked one by one and a failing row does not stop the others; each comes back as created (with its booking code), needs_answers (finish it with complete_booking), already_booked, failed, or check_before_retry (it may have been booked: check the bookings list before retrying it). Every row needs a clientReference, so rerunning an import skips the rows already booked. Needs read_write access and the Admin or Owner role.

invite_staff

ChatGPT
Invites a person by email to join the company with the default role, and sends the invitation email. Needs read_write access and the users:write permission.

list_booking_form_status

ChatGPT
Counts the bookings on one departure or departure group that have completed their booking forms, that are missing one, and that need none, and lists the ones missing a form with the form titles. send_message takes a listed booking as booking: { bookingReference, emailOrName: leadName }; with this internalDepartureId it messages only the activity on this departure.

list_companies

ChatGPT
Lists the companies this connection can act in, with the id other tools take as companyId. PaxFlow staff access searches every active company by name.

list_departure_passengers

ChatGPT
Lists the bookings on one departure or departure group: booking reference, lead customer name, passenger count, status, whether they arrived, and whether the booking forms are completed (null when no form applies). Cancelled bookings are left out. Email and phone are included only for users who can see every schedule. At most 200 rows; total says how many there are.

list_departures

ChatGPT
Lists departures and departure groups on a date or a range of at most 7 days, earliest first, with the internalDepartureId that send_message takes. startTime is the local departure time as PaxAdmin shows it; paxCount is the number of passengers on active bookings.

list_locations

ChatGPT
Lists shift locations. create_shift takes a location externalId.

list_message_logs

ChatGPT
Lists sent and scheduled email, SMS and WhatsApp messages with their delivery status, newest first, without message bodies. Filter by departure, activity, sending time, channel and status. Without ids or sendingDateFrom it covers the 7 days before sendingDateTo, or the last 7 days. get_message_log returns one message's body.

list_message_templates

ChatGPT
Lists the company email, SMS and WhatsApp message templates, with whether each is active and, for WhatsApp, its Meta approval status.

list_positions

ChatGPT
Lists shift positions (roles such as Guide or Driver). create_shift takes a position externalId.

list_resources

ChatGPT
Lists the company resources (vehicles, boats, rooms and other equipment) with their capacity.

list_shifts

ChatGPT
Lists shifts that overlap a time window of at most 31 days. Times are UTC ISO 8601. Users who only see their own shifts in PaxAdmin get only their own shifts.

list_staff

ChatGPT
Lists staff members with contact details. externalId is what shifts reference; userId is the PaxFlow user for remove_staff. Needs the users:read permission.

list_whatsapp_conversations

ChatGPT
Lists the company WhatsApp conversations, newest message first, without message text. get_whatsapp_messages returns the messages of one conversation.

product_availability

ChatGPT
Lists upcoming departures of one product that still have space, each with an availability band (available, selling_fast, few_left) rather than a seat count. Dates and times are in the product time zone.

remove_staff

ChatGPT
Removes a user from the company and revokes their MCP keys. Without confirm: true it only returns who would be removed. Needs read_write access and the users:write permission.

reply_whatsapp

ChatGPT
Sends a free-text reply in a WhatsApp conversation, as the company. Only allowed within 24 hours of the customer's last message; outside that window only an approved WhatsApp template can be sent, through send_message. Without confirm: true it only returns a preview. Needs read_write access and the Admin or Owner role.

resend_message

ChatGPT
Sends one message again with the content stored in the log, as PaxAdmin's message log resend does. A queued log (int_queued or ext_queued) is refused, because its original send is still waiting to go out. It goes to the booking's current email or phone, which can differ from the original recipient. Without confirm: true it only returns a preview. Needs read_write access and the Admin or Owner role.

search_products

ChatGPT
Searches active products by title or product code. Returns up to 6 matches with their internalId, title and code.

send_message

ChatGPT
Sends an active message template (email, SMS or approved WhatsApp) to one booking (booking), to every booking on a departure (internalDepartureId), or to one booking's activity on a departure (both). A booking with activities on several departures needs internalDepartureId too. Free text cannot be sent. Without confirm: true it only returns a preview: the channel, recipient count, SMS segments and one sample (the rendered text for SMS and WhatsApp, the subject for email). At most 50 recipients; larger sends go through PaxAdmin. Needs read_write access and the Admin or Owner role.

update_message_template

ChatGPT
Sets the given fields of a company message template; fields left out stay as they are. Email fields apply to email templates only. The body can be changed for SMS only. A WhatsApp template can be activated only once approved. Default templates are read-only. Needs read_write access and the Admin or Owner role.

update_resource

ChatGPT
Sets the given fields of a resource; fields left out stay as they are. Needs read_write access and the Admin or Owner role.

update_shift

ChatGPT
Sets the given fields of a shift; fields left out stay as they are. staffMemberExternalId null unassigns. Needs read_write access and the Admin or Owner role.

update_staff

ChatGPT
Sets the phone, display name or shift-approval requirement of a staff member; fields left out stay as they are, null clears. Needs read_write access and the users:write permission.

whoami

ChatGPT
Returns the PaxFlow user and company this connection acts as, its MCP access level, and the user permissions. With no company selected it returns the user and the access level only.
