Overview
Use ChatGPT to run your field service business in Clevra: check the schedule, follow up on overdue invoices and estimates, look up clients and jobs, run business reports, book visits and draft estimates, all from a chat. Clevra is AI field service software that runs every job from call to invoice. It's built for technical field trades like subsurface scanning, utility locating, and inspection, and for HVAC, plumbing, electrical, cleaning, landscaping, and 50+ other trades. In Clevra, crews record findings, readings, and photos on site with checklists attached to each visit, so the office, the client's report, and the invoice all work from the same field record. Clevra is built AI-first. Alongside its own AI assistant, the Clevra app lets ChatGPT work with your company's Clevra data, always as you and within exactly what your Clevra role allows. Ask in plain language about today's schedule, which invoices are overdue, what a client has been quoted, how a job performed or what last month's invoices report shows. ChatGPT can read clients and client notes, a client's billing standing, jobs and job statistics, job profit where your role can see costing, invoices, estimates, requests, the schedule, open time slots for a technician, activities, your team and the reports available to you. ChatGPT can also take six everyday actions: create a client, add a client note, log an activity, create a task, draft an estimate, and schedule a visit. You choose in ChatGPT's settings when it asks before using them. Every action runs through the same rules as the Clevra app and is recorded in Clevra's audit trail. Scheduling a visit sends your company's usual automatic messages, exactly as booking in Clevra does. The app never sends emails or texts on its own, takes payments, deletes records, converts estimates, or changes billing, payroll, team membership or company settings. Admins stay in control from Settings → Connected apps: see every connection, disconnect anyone, pause all connections, or make connections read-only for the whole company. Clevra never receives your conversations; it keeps only a content-free access record of each request, for 90 days. Requires a Clevra account with the Org Admin, Manager or Dispatcher role, in a company where the Clevra AI assistant is turned on.

create_client
ChatGPTCreate a new client (customer) with the app's defaults: status lead, owned by you. Nothing is sent to the client.
create_quote_draft
ChatGPTCreate a draft quote (estimate) for a client from line items; its number is allocated and it stays a draft. Notes are internal, for the team, and never shown to the client. Sending it to the client happens in Clevra, as does writing its client message.
create_task
ChatGPTCreate a task on the schedule, optionally timed and assigned; without the team-wide task permission it can only be assigned to you.
find_open_slots
ChatGPTFree time for a team member within the company's business hours over up to 31 days, skipping their visits, events and tasks: one window per free stretch of each business day, long enough for the duration. Any start from a window's start up to its latestStart fits; each window gives its day and times in the company's timezone (localDate, localStart, localEndDate, localEnd). Call it before schedule_visit.

ChatGPTOne client record: contact details, type, status, address and internal notes. Needs the client id (see list_clients).
get_client_billing_standing
ChatGPTA client's money position: unbilled backlog, open receivables, overdue balance and amount collected, in the company currency.
get_invoice

get_schedule
ChatGPTVisits, events, tasks, assessments and activities over a window of up to 31 company-local days, optionally for one team member; each bucket is bounded and says when more exist. Visits, events and tasks give their day and times in the company's timezone (localDate, localStart, localEndDate, localEnd); use those, not the UTC startTime, to say which day something is on.

ChatGPTCalls and follow-ups (to-do or done) with due-date window, client, assignee and subject search. Every team member's activities for roles that see them all; otherwise your own.

schedule_visit

Times without an offset are the company's local time. Booking fires the company's automatic messages exactly as booking in Clevra does.
